Outlook Exchange Server
  • The Microsoft Exchange Server acts as the centralized storage and distribution point of all Outlook services—Mail, Contacts, Calendar, and Notes.
  • The Outlook Web Access (Client) allows the
    end user (YOU!) to access data on the server.
  • Outlook Express is a limited E-Mail version for
    E-mail only.  It does NOT necessarily use an Exchange Server & is not used by MDCPS.

Newly Opened Accounts
  • New accounts are created as
    (employee number)@dadeschools.net .
  • Users will be prompted to change this name to something more
    meaningful or keep their
    employee number as their
    E-mail ID.
    • Change of E-mail ID will
      take place overnight.
    • If you want to select a
      different name than what
      you currently have, select
      Change E-mail Address
      at districtemail.dadeschools.net .

District E-Mail Policy
  • Users are responsible for storing e-mails that must be retained.
  • Users of the e-mail system
    cannot expect privacy;
    e-mails can be reviewed
    at any time and are considered
    legally discoverable.
  • Personal use of the MCDPS
    e-mail system is a privilege,
    not a right, and is provided as a courtesy.

Signing Into Your E-Mail
  • Type your employee number
  • Type your password
    • Typing your password
      incorrectly 3 times will
      cause your account to be
      locked out for several hours.

  • Click once on a message to read it in the Reading pane.
  • Double-click a message to read it.

Deleting Mail
  • Click the item in Inbox or open the item. Click the X on the toolbar.
  • Delete items permanently by clicking on the Empty Deleted Items icon in the Navigation pane and selecting the Empty Deleted Items on the toolbar.

  • Right click the Deleted Items in the Navigation pane and select Empty Deleted Items.

How to Create a Signature
  • Click Options button in the Navigation pane.


  • Select Edit Signature in the
    Messaging Options section.


  • Type your signature.
  • Select the text and
    make attribute changes.
  • Click Save and Close.

Calendar
  • The Calendar has 3 views
    • Daily
    • Weekly
    • Monthly

Creating Calendar Items
  • Select New from the Calendar toolbar.



  • Fill in the information in the
    Appointment dialog box.
  • Click Save and Close.

Contacts
  • Click Contacts button in the Navigation pane.
  • Click New on the Contacts toolbar.

Account Maintenance
  • Accounts have a limit of 75 MB.
    • Warning will be sent at 60 MB.
    • Accounts over the limit will not be able to send mail until the problem is corrected.
  • All mail, contacts, calendar items count toward your total space.
    • Inbox (including subfolders)
    • Drafts
    • Sent Items
    • Deleted items
    • Contacts
    • Calendar

Account Maintenance (continued)
  • Check your Sent Items folder often and delete items you don’t need to keep.
    • Every e-mail, forwarded e-mail, reply, and meeting you send puts a copy in your Sent Items folder.
  • Empty your Deleted Items folder every day.
    • Every item you delete moves to your Deleted Items folder.
  • E-mail attachments can be larger than you think.
    • Check the size of e-mails with attachments; save attachments to your hard drive if you want to keep them.

  • Do—Check your Mailbox regularly.
  • Do—Delete messages you don’t need.
  • Do—Check your Sent Folder and delete messages you don’t need to keep.

  • Don’t—Send attachments unless necessary; put content in email message
    • Content is >5 pages
    • Contains graphics that cannot be duplicated in email message
    • Contains other previously emailed PDF files
  • Don’t—Send e-mails with large attachments ever.
    • Attachments must be < 2 MB.
    • Adobe Acrobat can be used to reduce the size of some documents.
  • Don’t—use Reply All unless the subject or reply warrants; Reply All sends a message to every person who originally received the email
